Terms and Conditions for Ojas Events

1. Introduction & Acceptance of Terms

Welcome to Ojas Events. These Terms and Conditions ("Terms") outline the rules and regulations for the use of our services. By engaging Ojas Events ("the Company"), you ("the Client") accept these terms and conditions in full and agree to be bound by them. Please read them carefully, as this constitutes a legally binding contract.

2. Scope of Services

Ojas Events offers comprehensive event planning solutions, including but not limited to: venue sourcing, vendor management (photography, videography, makeup artists, etc.), custom decorations, stage design, entrance styling, and on-site coordination. The specific services to be provided for your event will be detailed in a separate Event Proposal and Service Agreement.

3. Booking and Payment Terms

To secure our Services for your event date, a non-refundable initial deposit is required upon signing the Service Agreement. The payment schedule for the remaining balance will be outlined in your agreement. Typically, the final balance is due no later than 14 days prior to the event date. Failure to make payments on time may result in a halt of services or cancellation of the contract. All payments are to be made via methods specified in the invoice.

4. Cancellations and Rescheduling

By the Client: All cancellations must be made in writing. The initial deposit is non-refundable regardless of the cancellation reason. If the event is canceled within 30 days of the scheduled date, the Client will be responsible for the full contract amount, less any costs not yet incurred by Ojas Events.

By Ojas Events: In the unlikely event that Ojas Events is unable to perform its obligations, we will provide a full refund of all payments made. We will also make every effort to find a suitable replacement planner at no extra cost to you.

Rescheduling: Requests to reschedule are subject to availability. A rescheduling fee may apply.

5. Client Responsibilities

To ensure a successful event, the Client agrees to provide all necessary information, make timely decisions, and grant approvals as requested by Ojas Events. The Client is also responsible for the conduct of their guests, for any damages to property or equipment caused by them, and must comply with all applicable laws and venue regulations.

6. Vendor Management

Ojas Events acts as an agent to coordinate and manage third-party vendors on your behalf. While we take pride in recommending reputable and professional vendors, we are not responsible for the performance or failure of any third-party vendor. Any disputes with a vendor must be addressed directly with that vendor, though we will offer our full support in reaching a resolution.

7. Photography and Promotion

Ojas Events reserves the right to use photographs and videos from your event in our promotional materials, including our website, social media, and portfolio. We respect your privacy and will not use any imagery that is deemed sensitive. Should you wish for your event to remain private, please inform us in writing prior to the event.

8. Limitation of Liability

The liability of Ojas Events, its employees, and its agents is limited to the total amount of fees paid by the Client for our Services. We shall not be held responsible for any indirect, incidental, special, consequential, or punitive damages, or for any events beyond our reasonable control (Force Majeure), such as extreme weather, natural disasters, or government restrictions.

9. Termination

We may terminate or suspend access to our services immediately, without prior notice or liability, for any reason whatsoever, including without limitation if you breach the Terms.

10. Changes to These Terms

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. We will provide notice of any changes by posting the new Terms on this page. Your continued use of our services after any such changes constitutes your acceptance of the new Terms.

11. Governing Law

These terms and conditions are governed by and construed in accordance with the laws of Nepal, and you irrevocably submit to the exclusive jurisdiction of the courts in that location.
